  • Quote requests: your name, email, phone number, travel dates, departure city, number of travelers, traveler ages, budget, and trip preferences you share in our quote forms.

  • Booking details: when you book, the information cruise lines and travel suppliers require, such as full legal names, dates of birth, citizenship, passport details, loyalty numbers, special requests, and emergency contacts.

  • Payment information: we never collect or handle your credit card or bank details. All payments are made directly to the cruise line or travel supplier through their own secure systems.

  • Communications: emails, texts, calls, and social media messages you send us.

  • Website data: basic technical information collected automatically when you visit, such as your browser, device type, pages viewed, and general location (city or region).

How We Use Your Information

  • To prepare quotes and recommend sailings, cabins, and vacation packages

  • To make, change, and manage your bookings

  • To apply promotions, watch for price drops, and service your trip before and after you travel

  • To answer your questions and keep you updated about your trip

  • To send occasional travel deals and news, only if you ask to receive them. You can unsubscribe at any time.

  • To meet legal, tax, and seller-of-travel requirements

How We Share Your Information

We share your information only as needed to plan, book, and support your travel.

  • Cruise lines and travel suppliers: such as Virgin Voyages, Royal Caribbean, Carnival, Princess, Celebrity, Viking, Disney, and Universal, so they can confirm and deliver your booking. Their own privacy policies apply to the information they receive.

  • Our host agency: PTO Passport is an independent affiliate of A.S.A.P. Cruises, Inc. (Outside Agents), which provides the booking systems and seller-of-travel registrations we work under.

  • Service providers: companies that help us run the business, such as our website host (Squarespace), our online form provider (Jotform), and email services. They may use your information only to provide services to us.

  • Legal reasons: when required by law, or to protect the rights, safety, or property of our clients, our business, or others.

We do not sell or rent your personal information, and we do not share it with third parties for their own marketing.

Cookies and Analytics

Our website is hosted by Squarespace, which uses cookies and similar tools to keep the site working, remember your preferences, and give us basic visitor statistics, such as how many people visited and which pages they viewed. We use this information in summary form to improve the site, not to identify you.

You can block or delete cookies in your browser settings. Some parts of the site may not work properly if you do.

Security and Retention

We use reasonable measures to protect your information, including secure, password-protected systems and limiting access to what is needed to service your trip. No website or email system is completely secure, so please do not send passport numbers by regular email or social media message. We will tell you a safer way to share them. We will never ask you for credit card or bank details.

We keep your information for as long as needed to service your trips and meet legal, tax, and seller-of-travel record-keeping requirements. When it is no longer needed, we delete it or make it anonymous.

Your Choices and Rights

You can ask us to:

  • See the personal information we have about you

  • Correct information that is wrong or out of date

  • Delete your information, unless we need to keep it for an active booking or a legal requirement

  • Stop sending you marketing emails or messages

To make a request, email info@ptopassport.com. We will respond within 30 days and may need to confirm your identity first. Depending on where you live, such as California or another state with a consumer privacy law, you may have additional rights under that law. We will honor those rights where they apply and will not treat you differently for using them.

Children

Our website is not directed to children under 13, and we do not knowingly collect information from them online. When you book travel for a minor, we collect only the details the cruise line or supplier requires, and only from a parent or guardian.

Our site links to cruise lines, travel suppliers, and social media. We are not responsible for how those sites handle your information, so please review their privacy policies.

Changes to This Policy

We may update this policy from time to time. When we do, we will post the new version on this page and update the effective date.
